How To Send Show Program Reports By Email

Sending email consists of typing in text, selecting your send options, and clicking the send button.
The instructions below detail how to do this in a step by step manner.


Before sending email you need to configure the Show Program to talk to your email provider.

When you email reports you first create an email with a subject and body text that explains what you are sending. Much of this is done automatically, but you can add additional body text and a salutation if you wish. Each time you send a report the program attaches your report(s) to this email subject and body text very much like "regular" email. The directions for doing all this are given below.


To send Check-In Sheets or Exhibitor Reports plus ELegs by email.

Note: Elegs are sent as an attachment along with each exhibitor report.
No extra action is needed to send elegs. (And there is no way not to send elegs.)

  1. Go to the the Exhibitors and Entries tab (#3).
  2. Select an Exhibitor to be sent report(s).
  3. Click the asterisk button at the bottom of the grid or press the hotkey combination Ctrl-E.
  4. The email dialog will appear.
  5. Type any additional body/salutation text for you email, if wanted.
  6. Verify all the options selected and information prepopluated in the form fields.
  7. Click the send button to send the email and close the email pop-up.
If you receive an error dialog, first, check to see that you've configured the Show Program to talk to your email provider.
If you still have problems, contact support for help with fixing the problem.


To send Specialty Club Reports by email.

  1. Ensure the shows for which you want reports sent are unlocked.
    Locked shows are skipped when sending email reports.
  2. Go to the the Quick Reports tab (#6).
    Specialty club reports are sent from the Breed Totals quick report. It doesn't matter if it is selected first or not.
  3. Click the Send Specialty Club Reports button to switch to sending reports mode. This will:
    • Download the latest list of specialty club report contact information (names and emails).
    • Change the grid columns to show the contact information and activate the send button.
  4. Select the row for the breed you want to send.
  5. Click the asterisk button at the bottom of the grid or press the hotkey combination Ctrl-E.
  6. The email dialog will appear.
  7. Type any additional body/salutation text for you email, if wanted.
  8. Verify all the options selected and information prepopluated in the form fields.
  9. Click the send button to send the email and close the email pop-up.
Be sure to verify the name and address of the specialty club secretary. If the secretary wrong or blank,
please let us know through the "Help" then "Support / Comments" menu options so we can correct it.
If you receive an error dialog, first, check to see that you've configured the Show Program to talk to your email provider.
If you still have problems, contact support for help with fixing the problem.


To send The ARBA Show Report by email.

  1. From the main menu select "Report Automation" and then "Send ARBA Show Report".
    You'll see a gold trophy icon next to the menu item.
  2. The email dialog will appear.
  3. Type any additional salutation information you want to send with the report.
  4. Verify all the options selected and information prepopluated in the form fields.
  5. Click the send button to send the email and close the email pop-up.
If you receive an error dialog, first, check to see that you've configured the Show Program to talk to your email provider.
If you still have problems, contact support for help with fixing the problem.


Additional information for Cavy Reports.

I know ... all cavy reports go to one person. Unfortunately, we don't have a way to send multiple breeds to one email address.

You can, of course, send each breed separately as per this web page.

Or, you can select the Export Both Specialty Club Reports - All Breeds Per Report option to the Report Automation menu option. This option will save both the complete placement and points reports for all breeds for the selected show to your drive just like if you printed them. You can export the both specialty club reports for each show and attach them manually to an email so you don't have to send each breed separately.



Notes - Comments - FAQ

Q: For some of the breeds the reports go to one person/email address, do I have to send each separately?

A: Yes, we've not figured out how to send multiple breeds to one email address.
So, for now, you have to send each breed separately.
This also goes for exhibitor reports to the same family or email address too ... sorry

Q: Why would I want to BCC myself?

A: The Show Program does not use your email's "Sent" folder for saving email messages. (See next question as to why.) Sending a BCC to yourself performs the same function but to your inbox instead. You should check to see if your email provider automatically sends email to your sent folder by sending yourself a report and looking at the Sent folder. If you know how, you can setup rules to move incoming mail to your sent folder. If you don't need an email record you can uncheck this option.

Q: Why doesn't sent email appear in my "Sent" folder?

A: Sent folders are not a part of any email standard, but exist in almost all email providers. However, getting stuff to the sent folder differs between email hosts too much to code for all the variations into the Show Program. For example, some email providers (like Google) automatically move email into the Sent folder. While others have different names for the Sent folder, such as "Sent Mail".

Q: Some of my reports didn't get sent even though I selected all shows. Why?

A: Check to be sure your shows are unlocked. Only reports from unlocked shows are sent.

Q: Does the Show Program keep a record or report of the emails that have been sent?

A: No, currently there is no record kept of the email sent, who they were sent to, or when an email was sent. (These features will exist in the online version of the Show Program.)
